Payroll FAQ: Common Questions and How to Solve Them

This guide is for Payers and Account Admins who manage payroll in Rise.

Why Is My Employee Not Showing Up in Payroll?

If you can't find an employee when trying to add them to payroll, or they're not appearing on your Payroll Dashboard, here are the most common reasons and how to fix them:

  • They haven't completed onboarding yet

The most common reason. Only members with a Payable onboarding status are eligible to be added to payroll.

How to check:

  1. Go to People in the left navigation in the Account/Team level.

  2. Find the employee and check their Onboarding Status column

  3. If it shows anything other than Payable, they still have pending steps to complete

What to do: Ask the employee to log into their Rise account and complete any pending steps — this typically includes their Tax Declaration Form, identity verification (KYC), and document signing.

  • They're in the wrong country for your payroll program

Each payroll program only shows employees whose country matches. For example, the United States EOR program will only display employees based in the US.

What to do: Confirm the employee's country in their profile under PeopleView Details. If they're in a different country, you'll need a separate payroll program for that country.

  • They haven't accepted their invitation yet

If the employee was recently invited, they may not have accepted it yet — which means they won't appear anywhere in your account.

What to do: Go to People and check if their status shows Invited. If so, ask them to check their email (including spam) for the Rise invitation, or resend it from your dashboard.

  • They were previously a contractor and need to be re-added

If the employee was already on your team as a contractor, they can be added to payroll—but their role will be updated from Contractor to Employee once added. They won't show up as a separate entry until you add them through the Add Employee flow.

What to do: Go to PayrollAdd Employee and search for them by name or email.

  • The payroll program isn't set up yet

If no payroll program has been configured for your team, the Add Employee option won't be available.

What to do: Go to PayrollSettings and set up a payroll program first. See How to Set Up Your First Payroll Program | Rise Help Center

What Does "Payroll Covered" Mean — and What to Do When It's Not?

  • What does "Payroll Covered" mean?

Payroll Covered means your current Rise balance is sufficient to pay all employees in the upcoming pay cycle. When you see this status on your Payroll Dashboard, no action is needed — Rise will process payments automatically on the scheduled pay date.

  • What does a funding shortfall mean?

A funding shortfall means your current balance is not enough to cover the total cash requirement for the upcoming cycle. If this isn't resolved before the cycle due date, payroll cannot be processed, and your employees' payments will be delayed.

  • How do I fix a funding shortfall?

You have three options, all accessible directly from your Payroll Dashboard:

Option 1: Transfer Balance (fastest)

If you have funds in another Rise account or team, use Transfer Balance to move them instantly. This is the quickest fix since there's no waiting for a bank transfer.

Option 2: Convert Funds

If you have funds in a different currency, use Convert Funds to swap them into the currency needed for your payroll program (e.g. converting USD to GBP for UK payroll).

Option 3: Make a Deposit

If your total Rise balance isn't sufficient, initiate a wire transfer via Deposit. Remember to include your Memo Code so Rise can match the incoming funds to your account.

⚠️ Wire transfers take 1–3 business days. Don't wait until the day before the due date — plan your deposit in advance to avoid delays.

  • How do I know how much I need to deposit?

Go to PayrollFunding Schedule. This shows the exact shortfall amount per program, in the correct currency, and the date by which it needs to be funded.

  • I transferred funds, but the status still shows a shortfall — why?

Give it a few minutes and refresh the page. If the status doesn't update after a few minutes:

  • Confirm the transfer went to the correct account — check your Account History for the transaction

  • Verify the amount transferred matches or exceeds the shortfall shown on the Funding Schedule

  • If the issue persists, contact Rise Support

How to Terminate an Employee on Rise

  • Who can terminate an employee?

Only Account Admins and Organization Owners have the permissions required to submit a termination request on Rise.

  • How do I submit a termination request?

  1. Go to Payroll in the left nav

  2. Under the payroll program, click Select a Payroll Program to View to open the full employee list

  3. Find the employee you want to offboard

  4. Click the ⋮ action menu on the far right of their row

  5. Select Terminate Employee from the dropdown

  6. A Submit Termination Request modal will appear — fill in the required fields accurately

  7. Click Submit to send the request

  • What information do I need to submit?

The termination form will ask for:

  • Termination date — the employee's last working day

  • Reason for termination — required for compliance purposes

  • Pay cycle selection — confirm the correct pay cycle to ensure any final prorated wages or statutory payouts are processed correctly

💡 Tip: Double-check the pay cycle selection before submitting. Choosing the wrong cycle can affect the employee's final payment amount.

  • Does submitting the request immediately terminate the employee?

No. Submitting the request starts the process but does not instantly finalize the offboarding. The following must also happen:

  1. Rise approves the request — the Rise administrative team reviews and approves it on their end

  2. Current cycle checkout — the admin must successfully check out of the active payroll cycle

  3. Final pay processing — Rise calculates and processes any prorated wages, variable compensation, or statutory payouts for the final cycle

  • What happens to the employee's access after termination?

Once the termination is processed:

  • The employee's Rise Status updates to Inactive

  • They no longer appear as Payable in your People list

  • Their cash requirement is removed from future payroll cycles

  • They retain access to their Rise account to view past pay stubs and tax documents

  • Can I cancel a termination request after submitting it?

If you submitted a termination request by mistake, contact Rise Support as soon as possible. Whether it can be reversed depends on how far along the approval process is.
